Inviting teammates

Adding your colleagues to Pleased takes a couple of minutes. You enter their email addresses, choose a role, and they receive an email inviting them to set a password.

There are two ways to add people:

Invite Team Member(s) — Best for a handful of people, quickly. You can set email and role only.

Bulk People Upload — Best for whole teams, or when details matter. You can set name, email, role, phone, groups and external ID.

Before you begin

Make sure:

  • You have the Admin role — only admins can add team members.
  • You know the email addresses of the people you want to invite.
  • You know which role they should be assigned.
  • Your workspace has enough seats. Invites are blocked when seats are exhausted; deactivating a user frees their seat.
Note: Invited users must currently have the same email domain as your Pleased workspace.

Invite your team

Go to People Configuration > People.

  1. Select Invite Team Member(s).
  2. Enter one or more email addresses.
  3. Select the Role to assign to all invited users.
  4. Select Send Invite.
  5. Each invited person receives an email with a link to set their password. The link is valid for 24 hours. Once they have set a password, they can log in.

Inviting several people at once

Enter multiple addresses in a single invitation, separated by a comma or placed on separate lines. Everyone invited in that batch receives the same role.

How names are generated

The invite flow does not ask for a name. Pleased generates one from the email address:

john.smith@example.com becomes John Smith

If you need to control names, use Bulk People Upload instead.

Roles

Every invited user must be assigned a role. The roles available are those defined in your workspace. Roles determine what a user can access and what they can do — see Creating roles for teammates.

Bulk People Upload

Use Bulk People Upload when you are adding a whole team, or when you need to set details the invite flow cannot: names, phone numbers, group membership, or your own external ID.

People are added by uploading a CSV file. You cannot type the details in — download the template, fill it in, and upload it back.

1. Download the template

Go to People Configuration > People and select Bulk People Upload, then Upload File.

In the dialog, select Download CSV File. You get a file named user_import_template.csv containing a single header row:

Name,Email,Role,Phone,Groups(Pipe Separated),ExternalID

Important: Do not rename, reorder or remove columns. Pleased reads the columns by position, so a rearranged file imports values into the wrong fields. Add one row per person underneath the header and leave the header untouched.

2. Fill in the fields

Name — Optional: The person's display name, up to 100 characters. Unlike the invite flow, bulk upload does not generate a name from the email address — leave it blank and the person is created without a name.

Email — Mandatory: A valid email address. It must be unique within the file and not already used by anyone in your workspace.

Role — Mandatory: The name of an existing role, spelled exactly as it appears in People Configuration > Roles. Matching is case-sensitive.

Phone — Optional: Phone number. If given, it must be unique within the file and not already used by another user.

Groups (Pipe Separated) — Optional: One or more existing group names, separated by a pipe character.

ExternalID — Optional: Your own identifier for the person — the external client ID from another system. If given, it must be unique within the file and not already used.

Rows missing Email or Role cannot be imported. Every other column can be left empty.

To put someone in more than one group, separate the group names with a pipe:

3. Upload the file

  1. In the Bulk People Upload dialog, drag your file into the upload area or browse for it.
  2. Check the number of people Pleased detected in the file.
  3. Select Save.
  4. Everyone created this way receives the same invitation email as a normal invite, with a password link valid for 24 hours.

File requirements

Format — CSV. The file must have a .csv extension.

Encoding — UTF-8

Maximum file size — 5 MB

Maximum rows — 1,000 people per file

Minimum content — At least one data row below the header

Seats — The file must fit within your remaining seats, or the whole upload is blocked.

Split larger imports across several files.

Errors and warnings

Pleased validates every row before creating anyone, and reports problems per row so you can see exactly what to fix.

Error — That row is skipped and the person is not created. Examples include an invalid or missing email, unrecognised role, duplicate email/phone/external ID within the file, or an email/phone/external ID already in the workspace.

Warning — The person is created, but something was ignored. For example, if a group name does not exist, the person is created without that group.

If some rows succeeded and others failed, the dialog shows Partial Upload with a per-row list of issues. You can:

  • Select Save Progress to keep the people who imported cleanly, then upload a corrected file for the rest.
  • Select Replace file to discard the attempt and upload a fixed file instead.
  • If the file exceeds your seat limit, Pleased tells you how many extra seats you need before any of it can be uploaded.

Upload history

The Bulk People Upload page lists your past uploads with the file name, who uploaded it, the date, and whether it completed or had errors — useful for confirming an import or tracking down a row that never arrived.

Current limitations

These apply to the Invite Team Member(s) flow:

  • Invited users must share your workspace's email domain.
  • Group assignment is not available during the invite process.
  • Names are generated from the email address.
  • No other user information can be entered during the invite.
  • Use Bulk People Upload when any of these matter.

FAQs

Can I invite multiple users at once? Yes, in a single invitation.

Can I invite users from another company? Not currently — the email domain must match your workspace.

Can I assign groups when inviting? Not in this flow. Use Bulk People Upload.

Can I choose the user's name? No — it is generated from the email address. Use Bulk People Upload if the name matters.

The invite link expired. Send the invitation again; a fresh 24-hour link is issued.

Can I bulk upload in Excel format? No — save your spreadsheet as CSV first. Only .csv files are accepted.

Which columns must I fill in? Only Email and Role. Name, Phone, Groups and ExternalID are all optional.

Can I add people to several groups at once? Yes — separate the group names with a pipe (|) in the Groups column.

One row failed and the rest worked. Choose Save Progress to keep the successful rows, fix the failed row in a new file, and upload again.

Can I use bulk upload to update existing people? No. It only creates new people — rows whose email already exists are reported as errors and skipped.
